A practical planning guide from Briony Portable Toilets.
Long-term rentals — commercial job sites, seasonal parks, ongoing agricultural operations, multi-year construction projects — have different priorities than event rentals. Reliability, service consistency, invoicing simplicity, and flexibility all matter more than one-off details. Here is how to structure a long-term rental that stays boring for the right reasons.
What Counts as a Long-Term Rental
Anything beyond 30 days generally shifts into long-term pricing and service tiers. Common long-term scenarios include commercial construction projects (6–36 months), seasonal park and trailhead placements (5–8 months), agricultural operations (planting through harvest), and industrial staging areas or laydown yards.
Rate Structure
Long-term rentals typically bill monthly with a set number of service visits included per month. Additional visits, unit adds, unit relocations, and swaps to ADA or handwashing stations are billed per event. Because long-term contracts commit our fleet, per-unit pricing is meaningfully lower than event or weekly rates.
Service Cadence That Actually Matches Usage
Weekly is the default and works for crews of 10 or fewer. Twice-weekly works for crews of 10–25 or high-traffic parks. Three-times-weekly or daily service is standard for large crews, active industrial sites, and events layered on top of long-term rentals. We adjust service frequency at any time — no contract amendment required.
Adds, Swaps, and Relocations Mid-Contract
Long-term contracts should be flexible. Adding units for a phase spike, swapping to ADA for an audit, or relocating units as the site shifts should all be handled on 24–48 hours' notice. Confirm this flexibility is in writing before signing any long-term agreement.
Winterization for Multi-Season Rentals
Rentals spanning September through April in the Fargo-Moorhead region need winter-grade chemicals, freeze-mitigation practices, and cleared service paths. For heated luxury trailer rentals extending through winter, plan for continuous utility power to maintain interior temperature. Discuss winter operations at the start of the contract.
Invoicing and Account Management
Long-term commercial accounts get consolidated monthly invoicing with a single line item per site or, if preferred, itemized detail by unit. Net-30 terms are available for qualifying business accounts. A single account manager owns your service schedule so you never have to explain your site to a new dispatcher.
Ending a Contract Cleanly
Long-term contracts end with a final service, thorough site walk-through, and unit removal. If your project extends unexpectedly, we can extend the contract at existing pricing rather than restarting a new agreement. If the project ends early, remove-early terms are outlined at signing.
