A ten-minute phone call before booking will save you every kind of surprise later. Here is what to ask, why it matters, and what a good answer sounds like.
What Is Included in the Base Price
Confirm that delivery, pickup, standard servicing, and consumables (tissue, hand-sanitizer, deodorizer) are all included in the quoted price. Watch for surcharges labeled as 'environmental fee,' 'fuel surcharge,' or 'restock fee' — reputable providers roll these into the base price. Anything not covered should be identified up front.
What Is the Service Schedule
Ask what day of the week the unit will be serviced, what services are performed, and how additional service visits are priced. Weekly service should include full pumping, chemical restock, tissue restock, and interior cleaning. Skimping on any of these is a red flag.
What Happens in Case of a Problem
Ask what the emergency response window is (industry standard is two to four hours in metro areas) and who to call outside business hours. Verify that emergency response is included in the base rate or, if surcharged, what the after-hours rate is.
What Insurance and Licensing Do You Carry
Confirm the provider carries general liability insurance, is licensed for waste transport in the state, and follows environmental disposal requirements. For long-term commercial or federal contract work, ask for a certificate of insurance naming your project as an additional insured.
What Cleaning Is Done Between Rentals
The answer should be specific: pressure-washed inside and out, sanitized with commercial disinfectants, deodorized with fresh chemical treatment, restocked with tissue and hand-sanitizer, inspected for damage. Vague answers about cleanliness are a red flag.
Do You Have ADA and Luxury Options in Stock
Providers should be able to confirm ADA-compliant units and luxury restroom trailers are available on your dates, not just theoretically part of the fleet. Ask for photos of the specific unit or trailer being reserved for you.
Can I Extend or Reduce My Rental
Long-term flexibility matters. Confirm that adding units, extending the rental window, and swapping unit types (standard for ADA, standard for luxury trailer) can be handled on short notice. Ask what notice period is required and whether pricing changes.
